1. Who we are
About LeadRelay and how we handle your data.

LeadRelay(“we,” “us,” or “our”) operates an AI receptionist service for home-service contractors. When a contractor signs up, our service handles their inbound calls and SMS, qualifies the lead, books the estimate, and sends follow-ups on the contractor’s behalf.

For the messages and call data that flow through LeadRelay, LeadRelay acts as the data processor and the contractor using the service is the data controller for their end-user leads. If you are a lead (a customer of one of our contractor customers), the contractor is who makes the decisions about your data and we process it on their instructions under our agreement with them.

2. What we collect
The categories of personal data we process to run the service.
  • Phone numbers — the phone numbers of leads who text or call contractor customers via LeadRelay, used to send and receive SMS and route calls.
  • Message content — the inbound and outbound SMS message bodies between the lead and the AI receptionist.
  • Call metadata — for any calls connected through LeadRelay: the To and From numbers, call duration, and a timestamp for when the call occurred.
  • Calendar and booking data — appointment slots and booking details entered by the contractor during onboarding (e.g. availability, calendar links) and any appointment data created when a lead books an estimate.
  • Contractor business info — the business name, service area, services offered, and qualifications configured by the contractor in the onboarding wizard.
3. How we use it
The product purposes that justify our processing of your data.

We use the data above to provide the LeadRelay AI receptionist service: respond to missed calls, qualify incoming leads, schedule estimate appointments, send follow-up messages, and deliver daily summaries of new activity to the contractor.

Message content is processed by an AI model to generate the replies the lead sees in the SMS thread. That AI is provided through our AI model provider (a third-party model subprocessor under our contract with them). The AI does not use the content it processes to train its underlying model.

4. How long we keep it
Default retention window for conversation history.

We keep conversation history (messages and call metadata) for 24 months by default so contractors can review past leads, follow up on slow-burn prospects, and audit the service. Booking data is kept for as long as the contractor remains a customer, plus a short archival window after cancellation.

We may shorten or extend these windows as the service evolves; material changes appear here with an updated “Last updated” date.

5. Who we share it with
The subprocessors that handle data on our behalf.
  • Twilio — carries all SMS traffic and any voice calls routed through LeadRelay. Their privacy policy applies to the data they process.
  • AI model provider — processes message content to generate replies. Operates as a subprocessor under our contract; does not train on our content.
  • Other subprocessors — infrastructure providers (hosting, storage, email delivery) used to operate the service. We put written data-processing terms in place with each one.

We do not sell personal data. We do not rent, sell, or trade lead contact information or message content to third parties for their own marketing.

6. Your choices
How a lead can act on their data.
  • Opt out of SMS at any time — reply STOP to any text we send and you will be unsubscribed immediately. You can resubscribe by replying START.
  • Request a copy of your data — email us and we will provide a record of the messages and call metadata we hold about your number.
  • Request deletion — email us and we will delete your message content and call metadata, subject to retention obligations and any legal hold.

7. Cookies & tracking
What runs on the public marketing site.

This page and the rest of the LeadRelay marketing site do not use cookies and do not collect any personal data from visitors. We do not load third-party advertising trackers or analytics that follow visitors across other sites.

We do run a single first-party anonymous visitor beacon to count unique visitors to the marketing site. It works by sending one pixel image request per page load. The beacon uses a random visitor identifier stored only in your browser’s localStorage (never sent as a cookie), it does not capture your IP address, name, email, or any other personal data, and it is not used to identify an individual — only to count whether someone visited. You can clear the identifier at any time by clearing your browser’s site data.
